JOB DESCRIPTION

Position Summary

This position is an integral and critical support role for the Marketing and Communications Department. It supports fundraising efforts and initiatives of the Foundation through the coordination of the ticket office operations for The Charleston Festival, the Foundation’s largest educational fundraising event. The Ticket Office Coordinator will be the guest-facing lead for onsite and remote ticket sales in the lead up to, and duration, of the event. This position is part-time leading up to Festival, and an expected 40+hours/week during the Festival.

  • Ability to manage and lead seasonal, temporary ticket office staff
  • Be an adaptable problem solver and resolve guest issues.
  • Ability to lift and carry up to 25 pounds
  • Ability to travel independently between ticket office locations to pick-up or deliver supplies as needed

Job Responsibilities:

  • Sell tickets to The Charleston Festival and other HCF events. Execute daily closing and reconciliation procedures.
  • Assist guests with ticket sales via phone, web and in-person
  • Respond to customers’ questions about The Charleston Festival, the organization, the museum houses, retail operations, and other current HCF events.
  • Hire, train and manage part-time ticket office staff in all aspects of ticketing operations from customer service to processing procedures in Altru (ticketing CRM) software.
  • Troubleshoot ticket office issues from customers’ complaints to processing errors.
  • Create and manage a schedule for ticket office personnel for the season while staying within the allotted budget.
  • Assist with evaluation of ticket office staff, sales, and procedures at the end of the Festival season.
  • Inform all ticket office staff and other HCF staff when events are sold out or low on ticket inventory.
  • Ensure ticket office locations are fully stocked with needed computers, printers, phones, office supplies, brochures, programs, maps, etc. throughout the Festival season.
  • Maintain proper and accurate out–of-office, after hours, busy on other lines, and holiday messaging on ticket office phone extensions. Promptly return all phone and email messages within 24 hours.

Education & Experience Requirements:

  • Bachelor’s or Associate degree in a relevant field with at least two years of Customer Service experience
  • Retail and/or ticketing experience is preferred.
  • Proficiency in Microsoft Office applications (Word, Excel, Outlook), and Altru or a related CRM database
  • Basic technical ability with computer hardware and ability to troubleshoot minor issues

Work Environment/Hours:

  • This seasonal position operates primarily in an office environment, although work will also be performed in the ticket office in the Charleston Visitors Center.
  • Early November 2024 to early March 2025: 20–30 hours per week (flexible hours, Mon. — Fri.)
  • March and April 2025: 40+ hours per week (flexible hours required, a mix of weekdays and weekends)
